3 phases over 12 weeks to embed AI in your organisation

Roadmap Overview

This roadmap is designed for organisations of 20–500 people that want to systematically introduce AI tools into their workflows. It assumes no prior AI infrastructure — just a willingness to learn and experiment.

Timeline is flexible: Some organisations complete this in 8 weeks, others take 16. The phases matter more than the exact dates. Don't rush Phase 1 — a strong foundation prevents costly mistakes later.

Phase 1: Assess & Align (Weeks 1–3)

Objective: Understand where you are, where AI can help, and get leadership aligned on the approach.

Change Management Tips

  1. Lead with empathy, not mandates. People fear AI will replace them. Address this directly: "AI is here to remove the tedious parts of your job, not your job itself."
  2. Show, don't tell. Demos are 10x more powerful than slide decks. Show a real task being done in 5 minutes instead of 2 hours.
  3. Celebrate early wins publicly. When a pilot team saves 10 hours a week, make it visible. Name the people, share the story, quantify the impact.
  4. Make it safe to experiment. Create a "no-blame" zone for AI experiments. If someone tries something and it doesn't work, that's learning, not failure.
  5. Address the sceptics directly. Don't ignore resistance — invite sceptics into pilot teams. They often become the strongest advocates once they experience the benefits firsthand.
  6. Don't mandate usage. Provide tools, training, and encouragement. When people see colleagues saving time, adoption happens naturally.
The 12-week timeline is a sprint start, not a finish line. AI adoption is an ongoing journey. After this roadmap, shift to quarterly planning cycles: new use cases, advanced training, tool evaluations, and continuous improvement.
